This explains what the Nigerian American Golf Group holds about you, why, and what you can ask us to do about it.

What we hold

When you register we ask for your name, email address, telephone number, postal address and golf handicap. You choose whether to add a photograph, an occupation, a title and the day and month of your birthday.

As you use the site we also hold the outings you book and what you chose, the movements on your account balance, anything you buy from the shop, and the address an order is posted to.

We do not ask for your date of birth. The birthday field records a day and a month only, because the group announces birthdays and that is all an announcement needs.

Who can see it

Other signed-in members can see your name, photograph, handicap, the town and state you gave, and anything you have written about yourself in the members directory. Your email address, telephone number and street address are never shown there.

You can leave the directory at any time from your profile, and the change takes effect immediately.

The committee can see everything you have given us, because they run the outings, the bookings and the accounts.

Payments

Payments are taken through PayPal. We never see or store your card details - PayPal handles the payment and tells us only that it succeeded, for how much, and against which booking or order. What we keep is the amount, the date and PayPal’s reference for it.

Photographs

A photograph you upload is resized and re-encoded before it is stored. That strips the hidden information a camera writes into a file, including the location where the picture was taken.

The contact form

A message sent through the contact form is stored with the name and email address you gave, so the committee can reply. We also store a one-way scramble of your internet address - not the address itself - which is used only to stop the form being flooded by automated senders.

Cookies

The site sets one cookie, to keep you signed in. There is no advertising and there are no tracking or analytics cookies, from us or from anybody else.

How long we keep it

We keep your membership record for as long as you are a member, and your booking and payment history for as long as the group needs it for its own accounts.

What you can ask for

• A copy of what we hold about you
• A correction, if something is wrong
• Removal from the members directory, which you can also do yourself
• Deletion of your record, where the group does not need to keep it
